Regular Full-Time

Overview

This position sits within our Content division which identifies and publishes accurate and relevant project data for our software solutions.

The Opportunity

The Bidding Project Intelligence Specialist owns the competitive bidding phase of construction projects and is directly responsible for capturing the highest-value data ConstructConnect delivers to customers: project plans and specifications, planholder lists on public bids, select bidder lists on private bids, addenda, bid results, and awards.

Like the Project Intelligence Specialist, this is a relationship-first, outreach-driven role — the relationships just run through a different network: awarding agencies and plan rooms on public bids, general contractors and owners on private bids, and the architects and engineers who hold the documents.

This role partners closely with Project Intelligence Specialists, picking up projects once a confirmed bid date and verified contact are secured and the project moves to Bidding status, retaining ownership through bid, results, and award as long as that status holds. If a project's status reverts to Planning, for example due to a significant delay, ownership returns to the Project Intelligence Specialist.

This team is the single point of ownership for bidding-phase work across the U.S. and Canada. It sits within the same Content team and career path, and is designed as an entry point into that path — success here is measured the same way, on outreach volume, relationship coverage, and conversion, just applied to a faster-moving, document- and deadline-driven pipeline.

Responsibilities

What You’ll Be Doing

Source & Stakeholder Relationships

  • Build and maintain relationships with awarding agencies, plan rooms, architects, engineers, general contractors, and owners across your assigned bid pipeline.
  • Professionally represent ConstructConnect when requesting documents, lists, and results, and set clear expectations for follow-up.
  • Apply Sole Point of Contact (Sole POC) and rules-of-engagement guidelines when a source or bid is shared across specialists.

Bid Pipeline & Workload Management

  • Work from the Daily Bidding Sheet (actively bidding projects) and bid assignments to manage your full pipeline and prioritize outreach.
  • Prioritize outreach by bid date, project value, and document or list completeness gaps.
  • Monitor incoming handoffs from Project Intelligence Specialists; triage by priority and act without delay.
  • If a project's bid date is pushed back far enough that its status reverts to Planning, hand it back to the Project Intelligence Specialist without delay.
  • Conduct research using bid-posting websites, plan rooms, and other online sources to identify new and updated bid opportunities within your pipeline.

Document & List Acquisition

  • Lead outreach to obtain project plans and specifications for every active bid.
  • Public sector: obtain the official Planholder List from the awarding agency or plan room.
  • Private sector: obtain the Select List of Bidders or Invited List of Bidders from the general contractor, owner, or architect.
  • Coordinate with reprographers to schedule delivery and processing of plans, specs, and addenda when documents are handled through a print/plan service.
  • Prepare and submit purchase requests for plan fees or deposits required to obtain documents, per department protocol.

Addenda & Change Tracking

  • Monitor for and capture all addenda, clarifications, and bid date extensions; update records and notify stakeholders as needed.

Results & Award Capture

  • Public sector: obtain and publish official bid results and tabulations once the bid date passes.
  • Public and private: pursue and record award outcomes — awarded contractor, value, and date — through construction start.

Data & CRM Discipline

  • Document all outreach, outcomes, and status changes accurately and consistently within ConstructConnect's CRM and related systems.
  • Maintain document repositories so plans, specs, addenda, and lists are attached and current.

Collaboration & Continuous Improvement

  • Coordinate with Project Intelligence Specialists to ensure handoffs are complete and source relationships are protected during transition.
  • Partner with quality control, offshore teams, and leadership to resolve discrepancies and maintain accuracy standards.
  • Participate actively in team meetings, training, and feedback forums.
  • This job description in no way implies that the duties listed here are the only ones that team members can be required to perform

Qualifications

What You Bring to the Team

  • Bachelor's degree OR 6 months of successful experience in another role within ConstructConnect OR Associate degree and 2 years of experience in a corporate environment OR High school diploma and 3 years' experience in a corporate environment.
  • Demonstrated success in a relationship-based or high-volume outreach role — bid coordination, procurement support, contract administration, sales or customer support — ideally with a strong phone and email component.
  • Comfort navigating public agency procurement processes (plan rooms, bid portals, public records) alongside private GC and owner relationships.
  • Strong attention to detail and deadline discipline — bid dates don't move to accommodate a missed follow-up.
  • Excellent verbal and written communication skills; the ability to build quick rapport and professionally request documents and lists from gatekeepers.
  • Strong organizational skills; ability to manage a high-volume, fast-moving pipeline of simultaneous active bids.
  • Comfort working with quotas, metrics, dashboards, and CRM-driven workflows.
  • Ability to work independently while staying aligned with a distributed team and manager.
  • Experience in procurement, contract administration, customer service, or another high-contact environment preferred but not required.
  • Proficiency with Microsoft Word and Excel and the ability to learn ConstructConnect's internal tools and CRM systems; minimum typing proficiency of 35 WPM or equivalent data-entry speed.

Physical Demands and Work Environment

  • The physical activities of this position include frequent sitting, telephone communication, and working on a computer for extended periods. Visual acuity is required to perform activities close to the eyes.
  • Team members are expected to maintain a dedicated and ergonomically appropriate remote workspace.
  • Team members who live within commuting distance of one of our office locations (Greater Cincinnati/Northern Kentucky or Atlanta, Georgia) are expected to work in a hybrid capacity, with regular in-office presence every Tuesday and Wednesday each week.
  • All team members must reside and perform their work within the United States.
